Follow the chain from the incoming lot.
Start with the identifiers your shop already uses: customer, purchase order, part, material reference, received lot, and internal job number. Determine which identifiers are required, which can repeat, and how corrections are controlled.
Then test the difficult cases. A lot may be split, processed in more than one load, held for review, or partially shipped. The records should allow your team to reconstruct what happened to the relevant quantity, even when the route was not straightforward.

Run a traceability exercise before choosing software.
Pick a completed job and define an answer key from its existing records. Ask a vendor to demonstrate finding the same history from a customer order number, a lot number, and a shipment reference. Include at least one exception, such as partial shipment or rework.
Record what is available directly, what requires an integration, and what remains in an external archive. Also ask how records can be exported and accessed after your contract ends. Searchability today and access years later are different questions.
